We have an immediate opening in our Federal Way office for an Administrative Assistant 2 reporting to the Transportation Operations Manager.  Candidate should have an AA degree; 5 years general office experience; with 1-2 years accounting experience, transportation experience a plus. This position is responsible for providing effective daily administrative support by performing various job requirements, as needed and scheduled, in all Lower 48 Customer Support Operation Groups.  These groups consist of Transportation, Fleet, Customer Service, Projects, and Rating and Invoicing. 
This position is a grade 13.

Essential Job Responsibilities AND Results

  • This position is intended to be a multi-faceted position and is being designed to be a position that moves freely between groups and functions.
  • Duties will include, but are not limited to the following:
    • Provide administrative support for all groups (including filing, scanning and answering phones).
    • Creating NB trailer bookings.
    • Taking transportation orders and dealing with customer issues.
    • Dispatching and directing transportation moves.
    • Timely and accurate processing of drayage purchase orders.
    • Timely and accurate entry of equipment data.
    • Timely and accurate entry of transportation moves.
    • Process and verify documentation, reviewing for accuracy and completeness (including SDDC paperwork and process).

DIRECTOR – TACOMA OPERATIONS

We have an immediate opening in our Tacoma office for a Director of Tacoma Operations reporting to the VP of Marine & Terminal Operations.  Candidate must have a Bachelor’s degree in transportation, marine engineering or related field.  Ten years of progressively responsible experience in vessel management, with five years in a supervisory role.  This position will be primary responsible for the day to day technical operation of TOTE vessels and for ensuring all vessels are in compliance with all regulatory requirements; for providing leadership and direction for all of the Tacoma Operations (Vessels, Terminal & Equipment Maintenance) as needed and during the Vice President’s absence. In addition, this position will be a member to the TOTE Senior Management Team (SMT). This position is a grade 20

ESSENTIAL JOB RESPONSIBILITIES AND RESULTS

  • Directly supervises non-supervisory employees.  Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.  Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance’ rewarding and disciplining employees; addressing complaints and resolving problems
  • Manages and approves vessel repairs and maintenance
  • Ensures vessels are maintained in class and obtain annual U.S. Coast Guard Certificate of Inspection and American Bureau of Shipping Certificates

Essential Job Responsibilities AND Results
Vehicle Dept. 

  • Timely and accurate completion of documentation for northbound vehicles.
  • Receiving, booking, and releasing vehicles.
  • Make and update bookings received via e-mail, fax, phone, or e-service.
  • Assist drivers and customers dropping off/picking up their vehicles at Vehicle Dept.

This position is responsible for reviewing sales and customer requests for pricing, preparing pricing recommendations based on corporate costs and existing rate levels by communicating with both internal and external customers.  This position works in a department that is responsible for top line revenue for the entire company.
